Project Background

Under the backdrop of digital finance and R&D-Operations integration, there is an increasingly urgent demand to improve collaborative efficiency in document workflows and unlock the value of internal knowledge. This necessitates the construction of an integrated document collaboration and knowledge management platform. The goals are twofold:

1.Enhance operational efficiency by strengthening capabilities in collaborative document editing, rapid and precise document retrieval, and secure access control.

2.Maximize the application value of documentation through systematic organization of fragmented knowledge assets into categorized, unified management. This facilitates seamless sharing and utilization, empowering business growth.

    Document Fragmentation Issues

    Under traditional file storage practices, enterprise information resources are scattered across individual terminals or isolated application systems. While data volumes grow exponentially, this approach strains storage capacity across business systems, leading to decentralized file management, heightened risk of data loss, and difficulties in unified management and comprehensive analysis of data assets. Additionally, the lack of disaster recovery backup mechanisms for individual work materials poses risks of data loss, negatively impacting organizational knowledge retention and workflow continuity.

Knowledge Base

The knowledge base is part of a team space, where each team space can host multiple knowledge bases. These are categorized into departmental knowledge bases (accessible to all department members) and project-specific knowledge bases (accessible only to project members). Within a knowledge base, users can manage files and online documents, optimizing document organization, storage, and sharing. This enables clients to quickly locate documents and streamline workflows.

Integrated File Management

The platform provides cloud storage functionality, supporting file uploads/downloads, sharing, online viewing, and editing. Features include version control, revision history, and version rollback capabilities. Users can assign custom tags to documents for categorization and search, manage multi-level directories, and set granular permissions for individual files. This unified document management system allows client personnel to access, search, and review documents anytime, anywhere.

Online Collaborative Editing

The platform supports real-time multi-user collaborative editing for Office files, as well as rich text, Markdown, mind maps, and flowcharts. This eliminates version conflicts and ensures seamless collaboration between clients and teams during R&D processes.

Knowledge Maps & Learning Paths

Knowledge required for specific roles and positions is organized into learning knowledge maps, which visually illustrate connections and hierarchical structures between resources. This transforms complex information into intuitive, easy-to-navigate diagrams, enabling employees to rapidly acquire job-critical knowledge and accelerate professional development.

Primary and Affiliated Teams

The platform adopts a primary team and affiliated team model to centralize employee and organizational structure management. Primary teams oversee all employee data and organizational hierarchies, enabling unified control while facilitating cross-departmental document sharing and knowledge exchange.

Achievements

A bank-specific team permission management module was developed, enhancing core functionalities such as file management, online collaborative document editing, document sharing, global search, and diagramming. Since the system’s launch, it has:

1.Enabled the creation of 30+ departmental team knowledge bases and 50+ project-specific knowledge bases.

2.Surpassed 2,000 system users.

3.Generated 5,000+ Office documents and 1,000+ online documents.

This has significantly enhanced user experience by streamlining document retrieval and knowledge sharing across the organization.
